MEETING MINUTES
ROLL CALL/ CALL TO ORDER: The meeting of the Lake Forest Cemetery Commission convened at 5:00 p.m. at the Lake Forest Cemetery Gatehouse. The following members were present: Chairman
Ronald Sevcik; Commissioners Ginny Grace and John Greene; and Staff Members Dan Martin, Superintendent of Public Works; and Phil Alderks, Cemetery Sexton. Also attending was Tony Hoban
from William Blair and Company.
CONSENT AGENDA: Chairman Sevcik presented the following items for approval:
Approval of Minutes from the Cemetery Commission Meeting held on January 18, 2012
Sales Report
Commissioner Ginny Grace motioned to approve the January 18, 2012 minutes with two minor corrections and to approve the Sales Report. Commissioner John Greene seconded the motion, which
carried unanimously.
FIRST QUARTER INVESTMENT REPORT FROM WILLIAM BLAIR AND COMPANY: The Cemetery Investment Report was presented by Tony Hoban from William Blair and Company (WBC). Mr. Hoban started by
saying the market is still very volatile and we continue to see money moving into bonds. Hoban further stated that while the market is volatile there are many positives. Hoban said that
natural gas prices continue to be low and the dollar is weak and because of this manufacturing is seeing a renaissance.
Hoban said that the Cemetery Fund saw a good quarter in terms of appreciation (3.2 million dollars to 3.687 million dollars). Hoban said the international portion of our portfolio continues
to grow and WBC sees good opportunity for growth in small and mid-cap stocks. The Cemetery portfolio year-to-date is up12.3% so for 2012 we are seeing a good rebound from a rather disappointing
2011.
Following review of the WBC report, the Commission received the financial report. GC.
STATUTS REPORTS: Superintendent Dan Martin and Sexton Phil Alderks gave the following status reports:
Lake View Planting – Sexton Alderks suggested that the Commission meet at the Lake View planting project before the July meeting and look at what tweaks we want to make to the planting
now that the plants have leafed out. Alderks also suggested that there may be ideas that we want to address with the neighbor regarding trees that are on their property.
Barrell Gateway Restoration – Sexton Alderks informed the Commission that following their request at the January meeting, he did contact Samuel Yellin Metalworkers, Inc. to see if drawings
for the Cemetery gate existed and if we were able to get copies for our records. Alderks did speak with Claire Yellin, granddaughter of Samuel Yellin, who said that they did have drawings
of the Cemetery gate, but that they were full scale drawings and it would be cost prohibitive (and maybe impossible) to reproduce.
Ravine Planting Design RFQ – Superintendent Martin reported that Conservation Design Forum has been retained for the Ravine Engineering Phase I. Martin gave an overview of the process
in selecting CDF and shared with the Commission what would be involved/included in the phase I engineering. Martin shared that the final contracted price following negotiation is $49,900.
Request by the Clarke Family Monument – Sexton Alderks reported that he had contacted the Clarke family and informed them that their request for a larger than allowed base for their
existing monument had been denied. The family understood the ruling and they were thankful for the options given for a base that fit the Cemetery rules and also their desire to have
the monument raised higher off the ground. Currently the family is proceeding with their monument dealer with one of the suggested options.
Report on the Lot Buyback Request by the Hentges Family – Sexton Alderks shared that a letter was sent to Mr. Daniel Hentges on behalf of the Commission denying his request to sell back
lots to the Cemetery at price different from what is allowed by Cemetery policy. As of this time, the family has not responded to the letter.
APPROVAL OF SALE OF 8 GRAVES IN SECTION C TO THE SHELBY PRUETT FAMILY: Sexton Phil Alderks presented the Commission with a request by the Shelby Pruett family to purchase an 8 grave
lot in Section C. Alderks informed the Commission that according to Cemetery Rules and Regulations all lot sales greater than 6 graves must be approved by the Cemetery Commission. Alderks
said that from the Cemetery’s standpoint there were no issues with this sale.
Commissioner Grace motioned to approve the sale of 8 graves to the Shelby Pruett Family. This was seconded by Commissioner Greene and passed unanimously.
OTHER MATTERS: None.
CITIZENS’ OPPORTUNITY TO ADDRESS CEMETERY COMMISSION: No comments were presented at this time.
ADJOURNMENT: Commissioner Greene motioned to adjourn the meeting. This was seconded by Commissioner Grace, the meeting was adjourned at 6:45 p.m.
